WHAT IS YOUR INTAKE PROCESS?

Our Clinical Coordinators are your first point of contact. Via email, text, or phone call, we gather demographic information, including your insurance and availability, and we will schedule you with a therapist of ours we believe would be a good fit.

Upon our initial communication, we will send you a link to your therapist's online portal through Simple Practice so that you can conveniently complete the intake paperwork prior to our first appointment.

The intake process is our "digital paperwork". It will ask for basic information about you (your address, demographic information, and some personal history). You will also have an opportunity to review and sign off on your therapist's business policies and procedures, as well as the informed consent, confidentiality agreements, and financial arrangement. We keep your credit card information securely on file so that the payment process is convenient for both you and your therapist. 

We are pleased to offer you this seamless option to complete the logistical portion of this process. It will also give your therapist an opportunity to review the information you'd like them to know about you before you meet.

WHAT CAN I EXPECT FROM THERAPY?

There is no “one size fits all’ approach to therapy. We treat the person first, and value building a relational foundation first. it is important you feel comfortable in the room (or virtual space) with your therapist. This ensures you get the most out of sessions, and feel free to talk about anything that is bothering you. Our clinicians are trained in a variety of therapy modalities that range from looking into your past experiences to see how they have shaped your life today, to focusing on past and present relationships and major turning points, to bringing awareness to your thoughts and how they are connected to your feelings and behaviors.

The bottom line is, your therapist will get to know you first and what you are hoping to achieve from therapy, And they will utilize tools during sessions to help you reach these goals.

At the very least, therapy can be a helpful space to focus on YOU, to share what is on your mind, symptoms that are difficult to manage, with no judgment.

HOW OFTEN SHOULD I COME FOR SESSIONS?

This is a great question, which depends on your presenting issues and the therapeutic approach that your therapist feels will most benefit you. Typically, the counseling process can take anywhere from 8-20 sessions before you notice change. This, of course, depends on your motivation and the efforts that you apply between the sessions.

We recommend for clients to begin therapy weekly, as this will allow you and your therapist to really create an alliance and establish momentum toward your goals. We are open to shifting to more spaced out sessions as you continue to explore progress and goals. It is important for you to know that you will experience more noticeable effects when you engage in more frequent sessions.

Some clients prefer to continue a therapeutic relationship for check-in support after initial goals are met. We find this beneficial and similar to the best practice of taking your car in to the shop every now and then for an oil change or tune up. Why not do that for yourself as well? 

You will typically know when you have reached a point where you feel you no longer need to come. We are very transparent with clients about discussing this and checking in with you to make sure you feel our work is on track with the goals you have established.

HOW LONG ARE SESSIONS?

The standard session time for families, couples, and individuals is 50-55 minutes.

WHAT IS YOUR CANCELLATION POLICY?

We do our best to be understanding of emergencies that may arise, which is why we want to make sure you understand our policy before you begin working with us. As much as we want to be flexible every time something comes up, we appreciate your understanding that sessions cancelled within 24 hours of your appointment time, for any reason, will be charged.

No show/Late Cancelation fees are $100 and will be charged the same day to the credit card on file.

WILL THERAPY SERVICES BE COVERED BY MY INSURANCE?

In general, if your provider is in your network and your visit meets medical necessity guidelines, YES. We verify benefits prior to your appointment as a courtesy so that you have a general idea of what we might owe out of pocket.

Unfortunately, we cannot guarantee that the quote of benefits was correct or that your insurance will pay what they have said that they will pay. In fact, insurance companies tell us every time we call them that a quote of benefits is not a guarantee of payment and that payment decisions are made when the claim is processed (i.e., sometimes weeks or even months AFTER your appointment).

In other words, even if your insurance tells us that you will only have to pay a $25 co-payment, they can still deny the claim or decide to apply the entire bill to your deductible later when they process the claim, resulting in you having to pay much more. Unfortunately, we have no control over what portion of your bill your insurance company will pay and cannot predict with 100% accuracy how they will pay the claim. 

WHY AM I GETTING A BILL MONTHS AFTER MY APPOINTMENT?

We submit insurance claims quickly, but your insurance company may take a month or more to process your claim, especially for the first session. If your claim is denied, we contact the insurance company on your behalf to try to resolve the claim. If the insurance company asks for more information or sends the claim back for reprocessing, it can take another several months! On rare occasions, it has taken more than six months to get a claim finalized, and only then can we send you a bill. 

WHAT IF I CAN’T PAY THE AMOUNT SET BY MY INSURANCE?

If your insurance company applies payment for services to your deductible, that means that we did not get paid, and you must pay that amount directly to us. Per our contracts with insurance companies, we cannot forgive that balance. Payment is expected when the services are rendered (ie deductibles, co-payments and co-insurances). Unpaid bills are subject to collection. We offer payment plans on a case by case basis if you request one. Please note that we are always willing to work with you, but you must communicate with us.
